Privacy policy

Last updated 19 October 2026

This policy explains what personal data How Many? collects, why, and the rights you have. Cristian Gaudino (Ireland) is the data controller.

  1. 1. What we collect

    • Account details: your email address, and your name and profile picture if you sign in with a provider such as Google.
    • What you add: items (brand, size, condition, measurements, notes, where you bought them and for how much), photos, lots, sales (platform, price, postage, date) and your settings.
    • Technical data: sign-in activity and request logs (IP address, browser, pages requested), used to keep the service secure and working.

    We don’t use analytics, advertising or tracking cookies, and we don’t buy data about you.

  2. 2. Why we use it

    • To provide the service you signed up for: storing your stock and showing your numbers (performance of a contract).
    • To keep accounts and the service secure, and to fix problems (our legitimate interests).
    • To meet legal obligations, where they apply.

    We never sell your data or use it for marketing.

    To run the service we see how much each account stores (counts of items, sales and photos, and storage used). We don’t look at your items or photos themselves.

  3. 3. Who processes it for us

    We use a small number of providers, each bound by a data processing agreement:

    • Clerk: sign-in and account management (United States).
    • Neon: the database holding your stock and sales (hosted in Frankfurt, Germany).
    • Vercel: hosting, request logs and photo storage (servers in Frankfurt; Vercel is a US company).

    Where data is handled outside the European Economic Area, it is protected by the EU–US Data Privacy Framework or the European Commission’s Standard Contractual Clauses.

  4. 4. Cookies and storage

    We only use what the service needs to work. Clerk’s sign-in cookies keep you signed in. Your browser also keeps a few things on your device: your light/dark theme, the last Stock view and label format you used, and any item you add with no signal (with its photos) until it uploads, after which it’s removed. None of it is used for tracking, so no consent banner is needed.

  5. 5. How long we keep it

    We keep your account and what you add for as long as you have an account. You can delete it yourself at any time (your picture, on More on a phone or at the foot of the sidebar on a computer → Manage account → Security → Delete account): your account, stock, sales and photos are deleted straight away. Or ask us and we delete it within 30 days. Either way it disappears from backups as they expire, within a further 30 days. Request logs are kept for a short period by our hosting provider.

  6. 6. Your rights

    Under the GDPR you can ask us to:

    • give you a copy of your data, or send it to you in a portable format;
    • correct anything that’s wrong;
    • delete your data;
    • restrict or object to how we use it.

    You can download everything you’ve added yourself at any time: More → Export all data.

    For anything else, email contact@checkhowmany.com and we’ll respond within one month. If you’re unhappy with how we handle your data, you can complain to the Data Protection Commission (dataprotection.ie).

  7. 7. Security

    Data is encrypted in transit and at rest by our providers, access to it is restricted to your account, and photos are stored at hard-to-guess addresses. No service is perfectly secure, but we take reasonable steps to protect your data and will tell you without delay if a breach affects you.

  8. 8. Changes

    If we change this policy, we’ll update the date at the top and tell you in the app or by email if the change matters.
